ASCE has been advised that certain housing service vendors have reached out to exhibitors with an offer to book hotel reservations for Geotechnical & Structural Engineering Congress at “special” discount rates. Some of these vendors have represented or implied that they are acting on behalf of ASCE or the Sheraton Hotel of Phoenix, or that they have authorization from ASCE or the Sheraton Hotel of Phoenix to offer hotel rooms to Geotechnical & Structural Engineering Congress exhibitors.
Please be aware that these vendors are not affiliated with or authorized in any way by ASCE, the Geotechnical & Structural Engineering Congress, or the Sheraton Hotel. The only approved methods for booking hotel reservations in ASCE’s housing block is by calling the Sheraton Hotel reservation lines directly or through the official housing links posted on the conference housing page.
ASCE urges its exhibitors to exercise caution if contacted by a third-party room block marketer for the Geotechnical & Structural Engineering Congress or any other ASCE meeting. There have been many reports of deceptive marketing or undisclosed terms by such marketers. Any room booked through such a vendor may entail the following risks:
- Room reservation may not be confirmed because the marketer does not actually have a contracted room block at the hotel. Even confirmation number may not guarantee that a room is available on the date of arrival.
- Rooms may require full pre-payment and may be non-refundable. Name changes on room reservations may be difficult or impossible to make.
- Marketers typically cannot secure a large block of rooms; instead, booking only one or two at a time. Exhibitors booking larger blocks should be especially cautious.
- ASCE may not be able to assist attendees staying in rooms outside the block if problems result from their booking.
